I think your gonna need to setup your own server.
I would to avoid such "public meetings" being available to staff

I did use the Phoneboy information to get it working. I also just read a
Microsoft TechNet article that explained how it works:

The high UDP ports were not included in the NetMeeting group. I added them,
but app sharing still doesn't work. I have not used NetMeeting before, but I
think I either have to use an existing directory service to get more than a
one-to-one meeting going or set up my own directory server for everyone to
dial into. The problem is, we tried one directory service and there are tons
of  "meetings" on there and we really don't want to host our company
meeting there. Does anyone know of a decent directory service we could use
or where I can find information on setting up our own directory server?

If you have version 4.0 sp3 or later, the services are predefined. 
Netmeeting and NAT do not work with version 3.0b or earlier on Checkpoint.

I have our FW1 (NT 4.0 FWv4) set up to allow NetMeeting to one of the 
computers on our network and it seems to share apps okay behind the 
firewall, but not outside of it.  I can get in and get video and sound, but 
no chat, share, whiteboard or file transfer options.  Could this be a 
configuration problem on the firewall?  I have the rules set up using the 
standard NetMeeting group that FW1 comes with to and from that machine.
